Ayers House respects your privacy. This policy explains what personal information we collect when you visit this website, enquire or book an event with us, how we use it, and how you can access or correct it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). Ayers House is a business name of The Ayers House Restaurants & Catering Unit Trust (ABN 92 542 565 314), referred to as “we” or “us”.

What we collect

We only collect the information we need to answer your enquiry and plan your event. That may include:

• Contact details, such as your name, phone number and email address.
• Event details, such as the occasion, date, guest numbers, company name, times and anything else you tell us in a message.
• Guest information you choose to give us, such as dietary requirements, accessibility needs and seating plans.
• Booking and payment details, such as invoices and deposit records. Card payments are processed by our payment provider, and we do not store full card numbers on this website.
• How you found us. When you arrive from an advertisement or a tagged link, our enquiry form records the campaign name (for example, "Jingle Ball") and the page you first visited, so we can see which advertising is working.

How we collect it

We collect information when you send an enquiry through this website, email or call us, visit the venue, sign a booking agreement, or follow us on social media. If someone else makes a booking that includes you, such as an organiser sending a guest list or dietary requirements, we receive your details from them.

Why we use it

• To answer your enquiry, check availability and send you a quote.
• To plan, confirm and run your event, including passing dietary and accessibility needs to our kitchen and staff.
• To take deposits and payments and keep business records.
• To send you news and offers about Ayers House, if you have asked for them or have booked with us before. You can unsubscribe at any time using the link in our emails, or by contacting us.
• To understand which pages and advertising bring people to us, so we can improve the website and our marketing.

Who we share it with

We do not sell your personal information. We share it only where we need to, with:

• Service providers who help us run the business, such as our website host (Netlify, which receives enquiry form submissions), email, booking, accounting and payment providers.
• Suppliers you ask us to coordinate, such as your florist, band or AV company, and only the details they need.
• Advertising and analytics platforms such as Meta (Facebook and Instagram) and Google, if we use their tools to measure our advertising. These platforms may use cookies or similar technology on this site.
• Anyone we are required or authorised to share it with by law.

Some of these providers store information outside Australia, including in the United States. Where we use them, we take reasonable steps to make sure your information is handled in line with the Australian Privacy Principles.

Cookies and tracking

This website uses your browser's session storage to remember which advertisement or link brought you here, for the length of your visit, so it can be attached to your enquiry. It is cleared when you close your browser.

We may also use analytics and advertising tools, such as Google Analytics and the Meta Pixel, which use cookies to measure visits and the results of our advertising. You can block or delete cookies in your browser settings, and you can manage advertising preferences in your Google and Meta account settings.

Keeping it safe

We take reasonable steps to protect your information from misuse, loss and unauthorised access. Only staff who need your details to plan or run your event can see them. We keep records for as long as we need them for your event and for our legal and tax obligations, then delete or de-identify them.

Access, correction and complaints

You can ask to see the personal information we hold about you, or ask us to correct it, at any time. Contact us using the details below and we will respond within 30 days.

If you have a concern about how we have handled your information, please contact us first so we can put it right. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
